Program Description:

The Institute's Office of Institutional Advancement (OIA) is a central division focused on Institute-wide donor and prospect engagement. Areas of practice include principal and major gift fundraising, corporate and foundation relations, annual giving and membership programming through the Institute's Society of Fellows, trustee engagement, major events, stewardship, research and gift accounting.

Basic Function:

The Advancement Associate is a key member of a busy Institutional Advancement core team that supports the giving priorities of the Aspen Institute. The Associate works directly with the Executive Vice President of Institutional Advancement and senior leaders of Advancement to ensure the smooth operation of the Advancement team and help drive fundraising goals of the Aspen Institute.

Additionally, the Associate is the primary liaison between OIA and the Office of the President (OOP). They will work closely with OIA fundraisers and the OOP to schedule donor meetings in which the CEO participates, ensure briefing materials are thorough and provided to the OOP in a timely manner, and will ensure CEO downloads after donor meetings are recorded in Salesforce. They will meet regularly with the OOP to align schedules and donor trips.

This position reports directly to the Executive Vice President of Advancement. The salary range for this position is $60,000-$65,000.

In accordance with our Reimagining Work policy, the Associate should be willing to be in-person with colleagues a minimum of 40% of the time while having the flexibility to work remotely for the balance. In-person consists of meaningful connections with colleagues in an office, traveling to a different office or location to meet fellow staff members, at an Aspen event, at a meeting outside the office or other opportunities to meet in person with teammates and colleagues.

Essential Duties and Responsibilities

  • Field and proactively schedule all meetings for the EVP of Institutional Advancement and on behalf of OIA. Support EVP in managing large amounts of email, information, and external requests.
  • Develop systems to move information to and from the EVP and OIA in a timely manner. This includes ensuring timely information sharing with the Office of the President, Strategy Team, Public Policy Directors, and Communications.
  • Interact regularly with members of the Board of Trustees, Senior Executive Team, Aspen Institute staff and donors.
  • Work closely with the OOP and under the leadership of the Director of Stewardship and Campaign Management to prepare briefing materials, to align the CEO and fundraisers' calendars and to trouble shoot as needed.
  • Draft high-level correspondence such as e-mails and donor acknowledgement notes on behalf of the EVP.
  • Edit and compile presentations as well as internal and external documents for donors and senior staff.
  • Manage gift agreements through the Due Diligence Review Process.
  • Record donor interactions for the EVP and the CEO in Salesforce.
  • Manage the onboarding for new OIA team members including setting up "get to know you" meetings with OIA staff, identifying helpful background documents, sharing information and resources on Aspen Institute expense reimbursement and expense management systems, conference rooms, printing, etc.
  • Serve as primary OIA liaison with administrative and functional staff across the Aspen Institute (HR, IT, Finance, etc.)
  • Manage the EVP's and VP's expenses and reimbursements. Manage occasional billing and invoicing. Help identify budget-conscious travel options for OIA staff in their work in the summer in Aspen, CO.
  • Be available to support fundraising events and Board meetings and travel if needed.
Knowledge, Education, and Experience:
  • Bachelor's Degree in relevant field preferred
  • A minimum of three (3) years experience in Administration or a related field.
  • Ability to maintain confidentiality and work with a high degree of independence.
  • Ability to handle sensitive information with discretion.
  • Computer proficiency, particularly with Microsoft Office Suite.
  • Outstanding communications and writing skills.
  • Outstanding judgment.
  • High energy, flexibility, and compatibility.

  • Ability to work well in a high-energy, fast-paced work environment.
