Department purpose and structure
The HR team at A&O provides a first-class service to the business, offering strategic HR business advice at the business partner level and quality support services in the full range of HR functions through specialist teams such as, learning & development, recruiting, reward, employee relations advice, diversity and inclusion, payroll, systems and HR administration.

Role purpose
The Assistant, Recruitment Administration provides critical support to the larger U.S. Recruitment team, which includes our lateral (partner, counsel, associate, and staff recruitment) and law student recruitment team for the Firm's U.S. offices.

Role and responsibilities
Recruitment
    • Update and maintain spreadsheets and recruitment systems
    • Maintain candidate records
    • Coordinate the scheduling and calendaring of interviews for all U.S. candidates
    • Organize in-person meetings and interviews by collaborating with Front of House and Audio Visual teams to ensure proper conference room arrangements
    • Draft and prepare candidate schedules, biography documents, and offer letters
    • Collect, compile, and distribute feedback following interviews
    • Prepare on-campus interview schedules and enter all candidate data into applicant tracking system
On-boarding & Induction
    • Facilitate the sharing and processing of new hire documentation including background and conflicts checks
    • Draft orientation schedule, which may include professional photographs, core training programs, etc.
    • Prepare onboarding documents, such as payroll packets, contact sheet, benefits information, etc.
    • In preparation for arrival, coordinate with the responsible teams to ensure new joiners have received all relevant materials, including IT equipment, and that firm accounts have been established

General Administration and Other
    • Engage with third party vendors such as the background check provider, external recruitment agencies, etc.
    • Maintain a library of recruitment and onboarding related documents
    • Draft bespoke documents and templates
    • Assist with special projects as needed
    • Additional responsibilities as directed

Team
This individual will report directly to the Senior Manager, U.S. Lateral Recruitment and will work closely with other members of the US HR team. This role can sit in our New York, Washington, D.C., Texas, or California office(s).

Minimum Requirements
    • Bachelor's degree
    • Experience with Microsoft Word, Excel and Adobe
    • Outstanding communication and interpersonal skills
    • Demonstrated ability to work well with others
    • Exceptional organizational skills with excellent attention to detail
    • Strong judgment and ability to respect, protect, and maintain highly confidential information
    • Flexibility to work overtime as necessary

Preferred Qualifications
    • At least one year of relevant work experience
    • Interest in the U.S. legal market and recruitment field
For individuals assigned to or hired for this opportunity in New York, the estimated annualized base salary range for this position is $60,000 - $70,000. The actual base salary offered will depend on the overall qualifications of the individual applicant for the position and other job-related factors permitted by law.
